Refund & Cancellation Policy

This Refund & Cancellation Policy explains how billing, cancellation, and refunds work for paid CloviTek AI LLC subscriptions and services. It supplements our Terms of Service. Where a signed order form or agreement sets different terms, that agreement controls.

1. Scope

This Policy applies to fees paid for our subscription plans and professional services. Payments are processed by our payment providers, Stripe (card processing) and, for subscription billing, Chargebee; CloviTek AI does not store full payment-card numbers.

2. Billing and renewal

Subscription fees are billed in advance on a recurring basis (for example, monthly or annually) for the plan and term you select. Unless you cancel before the end of the current term, your subscription renews automatically for a further term of the same length, and the applicable fee is charged to your payment method on file. Prices in effect at renewal apply; we give reasonable advance notice of any price change affecting your renewal.

3. Cancellation

You may cancel your subscription at any time, effective at the end of your current paid term, by using the account controls where available or by emailing [email protected]. On cancellation you retain access until the end of the term you have already paid for; we do not automatically pro-rate or refund the remainder of a term unless required by law or stated below.

4. Refunds

Because our Services are digital and delivered on a continuous basis, fees are generally non-refundable except where required by applicable law or expressly provided here. We may, at our discretion, issue a refund or credit where:

• a technical fault attributable to us prevented you from meaningfully using a paid Service for a sustained period and we were unable to resolve it;
• you were charged in error, or charged after a valid and timely cancellation;
• a refund is required by a consumer-protection or other applicable law in your jurisdiction.

Approved refunds are returned to the original payment method within a reasonable period after approval. To request a refund, email [email protected] from your account email within 30 days of the charge, describing the issue.

5. Professional services and setup fees

One-time setup, implementation, and custom professional-services fees cover work performed and are non-refundable once the work has begun, except as required by law or as set out in a signed statement of work.

6. Trials and credits

Where we offer a free trial or promotional credit, the terms presented at sign-up apply. Unless stated otherwise, trials convert to a paid subscription at the end of the trial period unless you cancel first, and promotional credits have no cash value and are non-transferable and non-refundable.

7. Chargebacks

If you believe a charge is incorrect, please contact us first so we can resolve it quickly. Initiating a chargeback without contacting us may result in suspension of your account pending resolution.

8. Changes

We may update this Policy from time to time. The version in effect at the time of your charge or renewal applies to that transaction.
